Tradeshow & Events Coordinator

The Trade Show & Events Coordinator will assist the events manager in executing large tradeshows, and smaller regional events. This role requires an enthusiastic professional with a passion for event management and a meticulous attention to deadlines and details. The ability to build good relationships with both internal employees and external customers is also important.

  • Assist the event manager to execute yearly trade show calendar.
  • Manage regional shows and events with little or no supervision
  • Manage and document all program expenses and budgets
  • Ensure trade show calendars and tradeshow budgets are up to date
  • Ability to lead and drive planning meetings with a diverse team of stake holders
  • Maintain weekly updates of trade show planner to be distributed to planning team
  • Ordering and shipping of literature, show properties, and demo equipment.
  • Manage internal property inventory and follow-up to have items returned in a timely fashion post-event.
  • Help reconcile monthly credit card statement charges and receipts
  • Provide general administrative assistance including hotel reservations and confirmations; invoicing; inventory management
  • Follow up with sales team to ensure that leads are returned, processed, and distributed in timely manner
  • Assist in ROI analysis for each major event
  • Generate reports and dashboards to monitor and analyze trade show/events as required
  • Maintain updated list of tradeshow presentation deadlines and coordinate with luminary manager to ensure strong podium presence
  • Work with vendors, e.g. exhibit house, printers, etc, to ensure timely, cost-effective event support

Minimum Requirements/Qualifications:

  • A minimum of 2-4 years of experience in trade show and event planning
  • Associates degree required (Bachelor’s degree preferred)
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills, with a keen attention to details.
  • Detail-oriented with excellent follow-up, budgeting, and time management skills
  • Adept at handling multiple complex projects simultaneously under pressure to meet tight deadlines
  • Proactive self-starter that is creative and flexible with a can-do attitude
  • Must be proficient in Microsoft Office suite of products (including strong knowledge of excel)
  • Strong team player with ability to develop effective working relationships across organization
  • Must occasionally lift and/or move up to 40 lbs.
  • Experience with Salesforce or Marketo a plus

Product Manager

Location: Palo Alto, California

Description:

Develop marketing strategies and tactics to meet corporate sales objectives for one or more of Sciton’s  aesthetic products from concept to obsolescence. Reports to the Sr. Director of Global Marketing.

Specific Duties and Responsibilities:

  • Serve as the primary interface between the global market and R&D for product development, product extensions, and new clinical applications.
  • Design market research projects to assess customer attitudes to the current product range and new product introductions and recommend action plans from the research.
  • Act as point of first reference for all product related inquiries and work collaboratively with colleagues in Clinical Research and Regulatory to address any issues that may arise.
  • Develop knowledge of competitive products and companies and develop marketing strategies to address them.
  • Prepare competitor product information for the sales team.
  • Serve as product trainer for worldwide sales and marketing teams.
  • Create content for materials needed for marketing programs through the Marketing Communications team, providing input on strategic messaging, copy, image use. etc.
  • Create content to enable customers to better manage their marketing to their patients, including patient seminars, in-office merchandising and other practice marketing initiatives.
  • Support the development of consumer focused materials, understanding the needs of the consumer and creating clear materials that drive awareness and brand understanding.
  • Manage the launch of new products.
  • Work directly with key physicians to cultivate medical community relationships and monitor clinical sites/clinical research to help obtain data in order to achieve product goals.
  • Investigate new markets and propose new products within those markets; Identify trends throughout the medical marketplace, especially, but not limited to laser.
  • Manage the writing of white papers and peer-review papers as needed.
  • Other duties and responsibilities as directed by supervisor.
  • Approximately 25% travel is required

Qualifications:

  • 5  years technical product management or other relevant experience.
  • Excellent written, verbal, organizational and analytical skills.
  • Demonstrated decision-making and project management skills, initiative, teamwork and success in other work related experiences.
  • Possess a strong ability to work independently under tight deadlines.
  • BS or BA in Marketing or technical-related field or equivalent. MBA preferred and a plus.
  • Ability and desire to master scientific and technical content is a must.
  • Experience working in the medical device industry is strongly preferred.

Associate Marketing Manager

Sciton Inc. is a medical device aesthetic laser company located in Palo Alto, California. We are looking for a creative Associate Marketing Manager.  Position will be based in Palo Alto and report to the Global Associate Director, Physician Marketing.

Responsibilities:

  • Manage PR firm for all PR activities
    • Work with Product Management to develop strong PR program by brand
    • Create PR calendar and execute
  • Manage and create content for all social media outlets for all product lines
    • Products, events, promos, clinical studies
    • Manage and monitor social advertising
  • Create and manage editorial calendar
    • What products are we promoting/advertising?
    • What journals are we advertising in?  Other mediums like social or Google ads?
    • What is the message? When are we scheduling the ads?   
  • Manage Key Opinion Leader Relationships (Westcoast):
    • Develop new relationships
    • Cultivate existing relationships
    • Drive luminaries to speak on the podium, present at events, post on their social pages, drive clinical studies – to name a few
  • Manage the success builder program
    • Ensure current participants get good ratings (put together a rating system)
    • Ensure program is adequately promoted among sales
    • Look out for new participants/vendors to put into the program
  • Develop and nurture new partnership programs that could grow awareness/revenue through PR
  • Other duties as assigned

Education and years of direct experience:

  • Bachelor’s degree in Marketing or Business Admin.  plus 5 years of direct experience in Marketing and Medical Device.

Software/Computer skills:

Microsoft, Outlook, Design and Creative writing a plus

Order Administration Associate

Sciton, Inc. (Medical Device- Aesthetic Lasers) is looking for an Order Administration Associate for a key position with our Order Entry team.  The position will be based in Palo Alto and reports to the Director of Finance and works closely with the Manufacturing team.

Purpose of Position

The position will assist the Senior Order Entry Specialist and the Order Entry team in the order fulfillment process including order entry, processing, and shipments.

Specific responsibilities include, but are not limited to:

  • Process complex orders received via the company’s CRM and online ordering systems
  • Receive and process system installation documents
  • Maintain systems records and files
  • Initiate commission processing documents
  • Track demo and luminary systems in the field, including international carnet tracking
  • Provide backup support for shipping and front desk responsibilities
  • Interface with manufacturing, finance, and field sales personnel for efficient processing of orders
  • Other responsibilities as required

Experience and Education

  • This position requires at least an associate college degree.
  • Two to four years previous experience in order administration and/or data entry
  • Acute attention to detail required
  • Good computer proficiency is required, specifically in CRM and Excel.  QAD ERP system experience a plus.
  • Excellent organizational and multitasking skills
  • Proficient interpersonal, communication and writing skills are also required.
Benefits & HRIS Specialist

Location
Position is located in Palo Alto, California.

Description
The job duties of the Benefits & HRIS Specialist falls into two areas:  Benefits Administration and HRIS Management.

 

Specific Duties and Responsibilities

HRIS Management

New Hire: Take responsibility for orienting new employees to the Sciton family and enroll them in all applicable Sciton benefit programs as they wish.

On-going: Responsible for the completeness of the employee records (hard copy and electronic) and will maintain them securely. As needed will complete reports for the State and Federal agencies pertaining to labor law, EEOC, EEO-1, VETS 100, AAP and 401(k).

Payroll Processing

Set-up: Will set up the new employee in the payroll processor’s data base with the appropriate hire date, salary or hourly rate of pay and cost center and employee withholdings.

Weekly/Bi-weekly: Input the required data into the payroll processor’s system (Paychex) to ensure accurate processing.

Process Improvement: Review the current payroll processing procedures and recommend changes either with the current processor or others to improve, cost, accuracy, timeliness and efficiency of the system with a focus on online infrastructure improvements.

Quarterly/Annual: Assist Accounting and management in meeting requirements of various, governmental, regulator and audit agencies. Assist in preparing the annual payroll budget for the company and assist in evaluation of current salary rates.

Processing Bonus: Assist HR Director with processing merit and performance bonus increases

Benefit Administration

Ensure that all employees are aware of the benefits provided by Sciton and how to access those benefits. Provide timely notification of changes and manage the transitions. Assist employees as requested in solving disputes with benefit providers and function as the employee’s advocate with these providers. Monitor and audit all invoices from benefit providers to ensure accuracy and work with Accounts Payable to create prompt and efficient invoice remittance. Annually work with the Sciton benefits team:  President, Controller to evaluate the current and proposed benefit programs. Prepare such reports as are required on benefit costs and utilization.

Responsible to coordinate annual Health Benefit Open Enrollment.

Assist with company HR employee events/functions


Qualifications

  • Bachelor’s degree in Human Resources or Business Administration
  • Professional in Human Resources (PHR) certificate preferred
  • Three to 5 years of direct experience in all areas of listed responsibilities
  • Experience with Paychex Flex systems (HRIS, Payroll, Benetrac and Paychex Retirement Services 401(k) program
  • Strong Microsoft software skills (Excel, Word, PowerPoint, Outlook)

The compensation package is comprised of base wage, performance bonus, and equity participation in a pre-public company. Sciton offers a competitive salary and incentive package which includes:

Electrical Manufacturing Engineer for Medical Laser Systems

The Role

We are a growing medical laser company in need of an electrical manufacturing engineer to help us continue to build reliable, high quality equipment. Position is located in Palo Alto and reports to the Director of R & D/Engineering. 

Responsibilities:

  • Training production line personnel
  • Evaluate manufacturing processes
  • Troubleshoot production line issues
  • Work with PCB and Cable/Harness assembly houses
  • Initiate and process Engineering Change Orders
  • Develop test fixtures
  • Assist in system compliance testing
  • Conduct and document qualification testing and life testing of systems and subsystems
  • Assist in transferring new products to production
  • Disposition nonconforming material (PCB’s, cables/harnesses & electrical parts)
  • Present data (charts & failure modes) for electrical parts at semi-annual NCR Review Meeting

Skills:

  • Proficiency with schematic capture and PCB layout
  • FDA/ISO, Medical Device experience
  • Analog and Digital electronic trouble shooting skills

Electronic Tech Medical Laser Systems

The Role

  • Assist in testing and repairing electronic assemblies for medical laser systems

Responsibilities:

  • Experience with analog and digital circuit designs
  • Troubleshoot PCB assemblies to the component level
  • Repair of cables and harnesses
  • Documenting work
  • Maintaining lab equipment and supplies

Assembly Technician

Sciton, Inc. (Medical Device- Aesthetic Lasers) is looking for an Assembler. In this position you are responsible for producing components by assembling parts and subassemblies. Position will be based in Palo Alto, CA. and report to Manufacturing Manager.

Responsibilities: (other duties may be assigned)
Responsible for performing a wide variety of optical, electrical, mechanical, electronic or electro-mechanical assembly operations.

Follow work instructions and manufacturing process instructions in performing standard tasks such as component installation, optical alignment, electrical wiring, hand soldering and cable harnessing on sub-assemblies.

  • Install and glue optical assemblies, such as mirrors and lenses, in laser body, using precision instruments.

Perform assembly, adjustments and final testing to meet engineering specifications. An attention to detail and an interest in working on state of the art laser systems are essential in this position.  Maintain safe and clean working environment by complying with procedures, rules, and regulations.

Knowledge, Skills and Abilities

Good manual dexterity and eye/hand coordination are required.

Experience and Education

Work experience with medical products a plus. An AA diploma desired.

At least 2 years’ experience working in an assembly environment.
